This policy explains how DentCare handles information when clinics and their staff use the Service.

Information we hold

• Account information — clinic name, contact details, and the names, emails and roles of staff users.
• Clinic data — patient records, appointments, clinical notes, dental charts, prescriptions, X-rays and documents, invoices and payments entered by your clinic.
• Technical data — basic logs such as IP address and browser, used to keep the Service secure and working.

How we use it

Clinic data is used only to provide the Service to your clinic. We do not sell it, and we do not use patient information for advertising. Each clinic's data is logically separated so that one clinic cannot access another's records.

Security

Data is transmitted over encrypted HTTPS connections, passwords are stored as one-way hashes, and staff access is controlled by individual logins and roles set by your clinic administrator.

Retention and deletion

We keep clinic data while the account is active. If a clinic closes its account, its data is deleted after a reasonable period, or earlier on written request by the clinic administrator.

Your clinic's responsibilities

Your clinic is responsible for the patient information it records and for meeting its obligations to patients under applicable law.
